Who Can Do This
Administrators who have money action permissions are able to do a price override or a discount.
Understanding the Types of Price Changes
There are three different types of price overrides or changes.
Price Lock: When used, this locks in the price no matter what. It doesn't matter if they have paid or not or if a deadline has passed. When used, the price will always be set at this amount for this product type. If you set a lock but then change the registration type, the lock will no longer be applied.
Discount: This provides an admin the ability to give a discount off the current price. This is different in that the price is based on the normal criteria (current price, payment amounts, etc.). The amount entered is then substracted off the current price.
Auto Upcharge Override: Another important feature to understand is that an attendee price will be upcharged or overridden in those cases where no payment has been made and the price changes. It is important that you have a good understanding on how prices are set and automatically adjusted. We have prepared an answer that explains how price upcharges work.
Setting a Price Lock Override and Discount
Price Locks and Discounts are done as follows.
- Go to the Basic Attendee Listing and search for the individual you wish to override.
- Use the "Action Drop Down" (second column) and select the "Edit" option.
- This will open a new dialog window in which you can edit the individual record.
- Near the bottom of the new window, there is a special administrative section.
- There are two fields, text entry boxes labeled "Price Override" and "Admin Discount" respectively.
- Enter the whole number amount for the price you wish to have either locked (first box) or the whole number amount of the discount you want to apply (second box).
- Enter a note explaining why you are locking this price.
The registration price for this attendee will now be locked in and will not be auto adjusted. This price superscedes all other actions unless the registration type changes (either by an admin or the attendee). The price is locked in for THIS TYPE ONLY. If you wish to later remove a price lock, you simply remove the entry. This price will be locked in and even if the base price is removed, or payment not received by a deadline, it will remain locked in.
If a discount was applied, it will be applied provide that a lock was not placed. If both a lock and discount are given, the lock is applied and not the discount.
Remove an Price Lock Override and Discount
If you wish to remove an overide lock or discount, simply go back into the person's record and remove the entry. The price owed will then be adjusted.
