Individual Entry / Payment Group

Is there a way to have people register individually but then be grouped to pay at one time?
How do I avoid the multi-order (invoice) situation.


EventCORE sets itself apart from other registration tools by the way it can accomodate groups. There are two main uses for groups.
  • Paying for More Than One Person at a Time
  • For room placement.
If a person uses the "Link Attendees" (explained here) option while registering multiple people a group will automatically be created and these people should stay together. Also, if you use the "Register As" option and select "Couple" or "Family" it will also automatically create a placement group. The group coordinator can grant or restrict access to various levels (e.g. payment, housing, etc.) to the other group memembers but the coordinator will always have access to be able to edit attendee records, assign housing and make payments for anybody in that group.

There are some circumstances though when invoices were not linked or a group needs to be created from non-linked attendees or the group coordinator doesn't want to enter the information for all attendees but would rather have the group formed after individuals have initiated their own registration process.  Here are some ways in which these needs can be handled.

Option One - Group Coordinator Initiated:
  1. The group coordinator gets the email address for all of the attendees and enters them as a group (using the "Link Attendee" option), completing just the minimum required fields.
  2. The group coordinator then makes payment for all people.
  3. At any point in the process, the Group Coordinator could let individuals know they can go in and fill out their data. They would use the email entry option (i.e. enter their email and receive a verification code).

Option Two - Partial Start:

  1. Individuals make their own registration but STOP after the main registration page. They don't go to housing nor to payment. This then should NOT generate an order number.
  2. The group coordinator would then contact the site administrator and provide the names of the people they would like grouped together.
  3. After grouping, the coordinator could then go into the group and pay for them all at once. The order number would be created at this time and they'd all be on the same invoice.

Option Three - Make Payment Though Administrator:

  1. If the only thing that the group coordinator wants to do is make a payment for the entire group.
  2. With this option it doesn't matter if they are a part of the group or not.  
  3. When ready to pay, the group coordinator then contacts the site administrator and gives the name and payment information.
