Legacy House Type

What type of housing options exist?
Can the site handle direct booking with the hotel?
What type of master billing options exist?

This is a somewhat complex subject because of the variety of options and the combinations that exist.

The following is an explanation of the various housing options that exist.  You can only choose ONE Housing Type for your site.  In some cases the selected housing option works in conjuction with the "Roommate Finder" option.

The Options are:
  • Pay: Indicates where the attendee pays for their room. Hotel means they pay the hotel directly upon arrival. Included means that housing is included in the registration rate and Cart indicates that the cost of your room will be added to their shopping cart for payment online.
  • Dates: Flexible means that the attendee is able to choose the dates that they want to stay at the hotel. Fixed means the dates are fixed and attendee does not make a choice for which dates they will use housing.
  • RegNeed: Indicates whether a valid registration is needed.  If it says "pick" you can select if a payment is required (down payment prior to deadline then full payment after deadline) For "payment required" the attendee is required to pay for their registration prior to reserving their room.^
  • Finder: If listed as Required it means the Roommate Finder module must be used. For others, it is optional
  • id: The internal code listed as a convenience for debugging
^ Note, for RegNeed of "yes" (full or down) and a room based payment (e.g. CreditCard Hold, CCard Hold Reserve or Room Payment) only one person in the room (the one paying) needs to be registered.  They can then place either paid or unpaid people into the rooms.

Housing Type Description Options
Credit Card Hold Each attendee is able to add hotel rooms to this record. A credit card number will be collected at time of registration and will be provided to hotel as a guarantee for the room. Payment is made directly to hotel. Attendee picks and pays for rooms and places individuals into the rooms. The roommates work out payment arrangements with each other. Pay: At hotel
Dates: Flexible
RegNeed: Pick
Finder: Optional

c= no reg. needed

Master Bill Included The conference is paying for the hotel as a part of the master bill. The price of the room is included in the attendee registration and the available housing dates are fixed. The attendee is basically picking the room configuration that they want. They then use the roommate finder to place themselves in a room. Downpayment is required to reserve a room. Pay: Included
Dates: Fixed
RegNeed: Yes
Finder: Required

Split Pay Occupancy
Based
The hotel is payed by the conference as a master bill, but the attendees are billed separately for their room. Dates are flexible and the price is calculated based on the number of nights they choose and the room configuration. Payment is collected on the payment page. Rooms in which an attendee is in the room at less than capacity are calculated separately at a high price. If the roommates want to Pay: In Cart
Dates: Flexible
RegNeed: Yes
Finder: Required

Flat Rate Similar to Split Pay, but the attendee is billed a flat rate based on the number of nights they are staying and the room type. They are billed the same for nights in which the room is not at capacity. This is most often used at retreat centers that have a "meal inclusive" plan that is based on a per-person rate and not per room used. Pay: In Cart
Dates: Flexible
RegNeed: Yes
Finder: Required
id: t
Room Payment The payment for the room is done on a per invoice basis rather than as per attendee. The price of the room is determined by the style of the room taken along with the number of nights booked. The charge will appear in the shopping cart on a per invoice basis. If payment is required, only one person needs to be paid.   Pay: In Cart
Dates: Flexible
RegNeed: No
Finder: Required

p= no reg. needed

Call Hotel* A link is provided for the attendees to call the hotel and work directly with the hotel for the management of rooms. EventCORE is not used at all for room management. The option of using the Roommate Finder is still a possibility, but the roommates are then responsible to work with each other to book the room. Pay: At hotel
Dates: Flexible
RegNeed: No
Finder: Optional
id: g
PassKey* This is a special integrated API website feature in which a person jumps out to a designated link and information is passed from EventCORE to PassKey. The attendee works with the hotel and makes payment directly there. Inventory is maintained at the hotel level, but room information is passed back to EventCORE for the management of roommates and rooms. Pay: At hotel
Dates: Flexible
RegNeed: No
Finder: Optional

The "Call Hotel" and "PassKey" options are future items that are not yet funded but are simply listed as a convenience. Green titles indicate this feature is funded or completed. The items marked in gray are funded but not yet scheduled for completion. A "rush" fee may be needed to move that particular method to the top of the 2.0 Staus/Build List.
